Thank you for considering Broadmoor Country Club to host your event. Our food and beverage department looks forward to the opportunity to work with you to make your event a very special occasion. We recognize that every event is special in its own way; therefore, we provide an experienced staff to assist you in planning and executing a highly memorable event. The board of directors of BCC has established the following guidelines for private functions held at the Club. These guidelines will not only ensure that your private function is more enjoyable but will make the experience of other members and their guests enjoyable as well. Guarantee In order for our staff to effectively plan and execute your function, the final details must be confirmed no later than fourteen (14) days in advance of your reserved date. Your attendance guarantee must be made 72 hours in advance. In the event that we do not receive your guaranteed attendance 72 hours prior to your event date, the greater expected number of guests will be considered your guarantee. The total food charge is based on the higher of the guarantee or actual number in attendance. Member-Sponsored Events The sponsoring member of any private function must be at the club during the event. The member sponsor is responsible for the conduct of all guests and must ensure that all are aware of and abide by all the club rules and policies outlined in the Broadmoor Country Club member handbook. Non-Member Events A $1000.00 (One thousand dollars) non member facility fee will be required for any party over 100 people that reserve the ballroom on Friday or Saturday. Persons hosting the event are responsible for the conduct of all guests and must ensure that all are aware of and abide by all the club rules and policies outlined in the Broadmoor Country Club member handbook. Cancellations and Deposits Any event scheduled on a Friday or Saturday for more than 100 people will require a $1500.00 (one thousand five hundred dollars) deposit (non-refundable within 120 days of function). This deposit will be credited to the final bill. Functions cancelled less than 72 hours prior to the scheduled date will be assessed 50% of the actual fee indicated on the agreement. All cancellations must be made with the Food and Beverage Director or the General Manager between the hours of 9:00am and 6:00pm from Tuesday through Saturday. Decorations Decorations are an important aspect to all events in helping to create ambiance and the right mood for the event. The management staff at the club can assist in helping to make arrangements for your floral decorations. We do ask that all decorations be limited to tabletop or freestanding items that do not fixation to walls or furniture. All decorations should be delivered the day of the event and removed immediately following the event. The club will not be responsible for any items left after the function. Entertainment The club welcomes outside entertainment for your function. The management staff will be happy to provide you with a list of prospects for the event. For the enjoyment of all Members and guests at the club, management reserves the right to control the amplification of the musical entertainment. Audio / Visual Equipment The club offers a variety of audio / visual equipment for your events at a modest cost. • Flipchart and Markers - $25.00 • 8x8 Movie Screen - $25.00 • 52” Widescreen TV with DVD player - $150.00 • Microphone and Speakers - $15.00 • Poly-com Speakerphone - $50.00 • 24x24 dance floor - $200.00 Additional equipment arrangements can be made with the management staff and will be charged based on our rental cost plus a 15% handling fee. Other Services The management staff will be happy to refer you to various professionals who can provide services ranging from event coordination to photography. The Club can also provide custom ice carvings, floor length linens and colored linens for an additional fee. No Smoking The Board of Directors of Broadmoor Country Club has enacted a no smoking policy at the Club: There shall be no smoking inside the building on the main floor of the Club. This includes all dining rooms, bar areas and rest rooms. Cashier A $50 fee will be applied to all parties of 30 or more that do not have a hosted bar, thus requiring the services of a cashier to sell tickets to be redeemed for bar drinks. Monitors For the safety and security of your children, the Board of Directors of Broadmoor Country Club requires all Bar Mitzvahs, Bat Mitzvahs, Birthday Parties (child oriented parties) must have BCC employee supervision. For every 30 children, one (1) monitor is required at a rate of $30 per hour.
